How to use this fieldbook
This fieldbook turns a vague instruction to “map the buying committee” into six written decisions. It is intended for technology vendors selling products with several evaluators and approval steps. A buying committee is not necessarily a formal, stable group. The right map follows the business decision and retains uncertainty until a credible account-specific source resolves it.
Complete the worksheets in order, assign an owner to each output, and preserve the supporting reference. The 60-day example is a planning sequence rather than a guaranteed implementation timeline. Access to contact data, product detail, privacy review and a receiving Sales process will determine the real work.
Worksheet 1: Define the purchase decision
Purpose: Establish what is being bought, by which business unit and for which business outcome. State the product, use case, geographic boundary, operational context, known exclusions and purchasing stage if confirmed. A single company may have different committees for a company-wide platform and a departmental application.
Fields to complete: Account ID ____; business unit ____; specific offer ____; decision to be made ____; expected business outcome ____; source for the use case ____; commercial owner ____; rule version ____.
Acceptance test: Give two independent reviewers five account scenarios. Can they agree whether each scenario describes the same purchase decision? Do not build a stakeholder map until the answer is reproducible. Intent Amplify Buyer Intelligence explicitly begins with account fit, buying roles and validation criteria [1].
Worksheet 2: Separate participation from title
Purpose: Describe buying tasks without assigning unproven authority to an individual. Start with daily user, technical evaluator, business sponsor, economic approver, risk reviewer, procurement participant and legal reviewer where relevant. The categories are optional when they have no real role in a particular decision.
Fields to complete: Buying task ____; provisional function ____; reason the task matters ____; candidate contact ____; exact original title ____; observed participation ____; evidence link ____; validation date ____.
Acceptance test: Ask whether the evidence would still support the mapped buying role if the job title were hidden. Salesforce defines contact roles in different business contexts [2], while Microsoft lists opportunity stakeholders such as champions, end users and economic buyers [3]. The existence of those role fields does not prove any named account has those participants.
Worksheet 3: Grade the evidence, not the person
Purpose: Preserve the boundary between an observed fact and a role hypothesis. Use “confirmed involvement” where a reliable source shows participation in the exact purchase, “confirmed role” where the responsibility is supported, “inferred relevance” where function suggests potential influence and “unknown” where no sufficient evidence exists.
Fields to complete: Person or role ____; claim being assessed ____; evidence type ____; source owner ____; date ____; directness ____; inference note ____; next verification step ____. Avoid numeric certainty scores that cannot be reproduced.
Acceptance test: A public biography can establish a stated job title, but not current authority over a particular budget. A webinar attendance record can establish attendance when collected and validated appropriately, but not purchase approval. A supplier-provided buying-intent score remains modeled unless independent behavior supports a narrower observation.
Worksheet 4: Build a role-to-content path
Purpose: Select appropriate information for each buying task. A technical evaluator can receive an implementation checklist; a business sponsor can receive an operational impact outline; finance may need a transparent cost model; security and procurement may need an evaluation checklist. No single asset is automatically appropriate to every participant.
Fields to complete: Role ____; central question ____; content promise ____; approved asset ____; permissible channel ____; content event definition ____; escalation criterion ____; content owner ____.
Acceptance test: Review the actual asset and ask if it answers the person's likely question without inventing their need. Intent Amplify Managed Demand Generation describes coordinating an approved audience, content, validation and reporting within an agreed program [5]. A response must retain the specific event definition.
Worksheet 5: Approve permissible activation
Purpose: Keep accurate role data separate from legal and organizational permission to engage. Record collection source, approved purpose, jurisdiction, channel, suppression status, retained evidence and reviewer. A contact may be relevant to the decision yet not eligible for the proposed communication.
Fields to complete: Source rights ____; approved use ____; location ____; channel ____; opt-out status ____; last suppression check ____; privacy owner ____; retention instruction ____.
Acceptance test: Test an opted-out person with a perfectly verified job title; a relevant prospect with no source evidence; and a buyer whose country requires different handling. The FTC explains that commercial email rules apply to business-to-business email in the United States [4]. Follow the applicable rules and approved company policy before sending.
Worksheet 6: Define evidence-ready Sales handoff
Purpose: Pass an account story that Sales can evaluate without turning one content interaction into an opportunity. Capture account and business-unit IDs, role-evidence type, actual engagement event, fit assessment, permitted use, receiving owner and the qualification decision still required.
Fields to complete: Campaign and asset IDs ____; event name ____; source and timestamp ____; role evidence status ____; CRM owner ____; next action ____; Sales disposition ____; feedback date ____.
Acceptance test: HubSpot differentiates Marketing Qualified Lead, Sales Qualified Lead and Opportunity lifecycle stages [6]. A legitimate form submission may be valuable while still falling short of Sales qualification. Intent Amplify Pipeline Activation positions an accountable handoff around validated context rather than automatic stage promotion [7].
Illustrative account exercise: A cloud security purchase
Imagine a fictional technology company reviewing a cloud security product. The product team has requested a technical comparison; the security architect is named in a meeting record; finance is mentioned but no approver is identified. Classify the architect as confirmed participation in evaluation only if the meeting evidence supports it. Keep finance as an unfilled role, not a fictitious contact. A security analyst who downloaded the comparison may require product education without being an economic buyer.
In a useful handoff, Sales receives the exact participation record, a clearly marked finance gap and one next-step question. If different business units share a company domain, preserve the original entity references. Microsoft documents duplicate detection mechanisms for CRM records [8], but a possible match is not necessarily one buying center.
A practical 60-day sequence
Days 1–10: Agree the offer, decision unit, role categories and exclusions. Output: Decision scope. Days 11–20: Review a sample of account and contact source evidence. Output: Evidence register. Days 21–30: Classify confirmed and inferred roles with two independent reviewers. Output: Role map and disagreement log.
Days 31–40: Match approved content to each role and confirm channel eligibility. Output: Activation specification. Days 41–50: Conduct a bounded test using permitted contacts, recording event types precisely. Output: Engagement ledger. Days 51–60: Review Sales dispositions and revise the map. Output: Next-version role definitions and executive summary. All timing is illustrative and subject to program authorization.
A readiness rubric that avoids invented benchmarks
For each worksheet, record four possible states: Not documented; documented but unverified; evidence-checked with owner; implemented and sampled. Report the count of evidence-checked outputs out of six. Do not call a written plan an implemented control or assign a performance uplift without measured data.
Useful reporting measures include role-evidence completeness, required buying-task coverage, permission checks completed, valid engagement events, accepted handoffs and Sales dispositions. State denominators and observation periods. Count inferred roles separately from confirmed roles.
Intent Amplify perspective
Buyer Intelligence can frame account and role definitions, Managed Demand Generation can coordinate approved content around distinct stakeholder questions, and Pipeline Activation can transfer relevant evidence under a defined handoff. The buyer organization retains authority over its people, qualification stages, privacy policies and purchasing decisions.
Worksheet companion: A simple reviewer decision ledger
After each worksheet, add a single entry containing the decision, the source supporting it, the owner, the date and the effect on activation. Example: “Engineering evaluator inferred from department, no opportunity meeting verified; content education only.” A separate entry might read: “Finance approver unknown; no claim of budget ownership permitted.” These entries are illustrations, not observations about any company.
When the evidence later changes, do not erase the earlier conclusion. Create a new dated entry, identify the revised basis and notify the Sales owner if the appropriate next action changes. This change history prevents hindsight from making a tentative decision look certain at the start of a campaign.
Pilot review agenda and sign-off record
Use a short weekly agenda: Review the sampled population; examine disputed decision units; challenge three inferred roles; confirm suppression and source checks; review native engagement events; inspect Sales dispositions; and document rule changes. Record who has the authority to accept a role claim and who approves a channel. The same person does not need to own both decisions.
At the end of the pilot, publish a compact change note showing which roles moved from inferred to confirmed, which were rejected, and why. Do not compare counts across different rule versions without explaining the change. Completion of all six worksheets is a documentation milestone, not proof of qualified pipeline or revenue impact.
